Hearings without delays: how to organize the firm’s calendar

Schedule, preparation, client informed and witnesses confirmed — a checklist for every hearing.

A hearing begins long before the scheduled time. It begins on the day the notice arrives and someone decides — or forgets — to put it on the calendar, prepare the client and organize the evidence.

1. Record the hearing on the day the notice arrives

The golden rule is the same as for deadlines: record it immediately. Date, time, format (in person or by video), link to the virtual courtroom, court, and the lawyer who will attend.

2. Avoid scheduling conflicts

In firms with more than one lawyer, the biggest risk is booking two hearings at the same time for the same person. A calendar shared and visible to the whole team solves the problem before it happens.

3. Create a preparation checklist

For each hearing, a simple list of tasks:

  • Review the complaint, the answer and the documents;
  • Define the settlement strategy (limits authorized by the client);
  • Confirm the witnesses and brief them on attendance;
  • Test the link and camera for video hearings;
  • Prepare the company representative's letter of authority, when applicable.

4. Remind the client — more than once

A client who misses the hearing or arrives late jeopardizes the outcome. Send the confirmation in advance and a reminder the day before, with the address or link and guidance on documents.

5. Record the outcome right after

What was decided, the deadlines that arose and the next steps. A hearing that ends without a record becomes a new risk of a missed deadline.
