How to switch legal software without losing data (or your patience)

Template spreadsheets, verification and a painless switchover.

Many firms stick with a system that no longer serves them for a single reason: fear of migrating. The concern is legitimate, but migration can be predictable if it's done in stages.

1. Export everything your current system allows

Cases, clients, parties, deadlines, case updates and finances. Almost every system exports to a spreadsheet; ask your vendor if the option isn't visible.

2. Use template spreadsheets

The new system should offer import templates with the right columns. Copying the data into the template is the moment to clean up: duplicate IDs, clients with different names, closed cases that can be archived.

3. Import in order of dependency

  1. Supporting records (action types, stages, practice areas);
  2. People and clients;
  3. Cases (linked to clients);
  4. Deadlines, hearings and tasks;
  5. Finances.

4. Check a sample

Pick 20 cases and compare them field by field with the old system. If the sample is correct, the database is safe.

5. Set the switchover day

Choose a date and, from then on, work only in the new system. Running both in parallel for too long creates two versions of the truth.

6. Turn on monitoring on day one

With the cases imported, enable automatic capture of court notices. That's what ensures no deadline appears "in the middle" of the migration.
